Equipment inspections

How the system works · what the addresses are · how to put it on your device

Every machine in the fleet has its own inspection form. You fill it out on a phone, tablet or computer, tap one button, and the inspection is filed: a PDF lands in the shop's inbox and the machine's record updates so everyone can see it was done.

There is no login and no app to install. It's a website. Anyone with the address can use it, and anyone can put their own name in as the inspector.

The addresses

Everything lives under adcinspection.com. Only the first one is worth memorising — the rest you get to by tapping.

If you had the old adc-inspections.netlify.app address saved, it still works — it just points here now. No rush to change it, but the short one is easier to type on an iPad.

Doing an inspection

  1. Open the machine's form. From the machine list, find the unit number and tap Open form. Each form is built for that specific machine — a dozer form doesn't ask about outriggers.
  2. Fill in the header. Hours, date, your name, location, and the work order number.
No work order assigned? Tap the "No work order — use MF-01" button right under the field. MF-01 is the shop's standing code for an inspection done without a work order. The field won't let you past without something in it, and MF-01 is the correct answer when there's nothing to put.
  3. Work down the list. Every item gets Pass, Fail, or N/A. Add a note where it's useful, and photos where a picture says it faster. Photos go into the PDF automatically — no separate emailing of pictures.
  4. Write up the fails. Marking an item Fail creates a defect card further down the page. Fill in severity, what needs doing, and who you told. This is what gets turned into a work order in the main system, so it's worth the extra minute.
  5. Make the call. At the bottom, pick one:
    • Released — good to work.
    • Restricted — usable, but with limits. Say what in the defect log.
    • Tagged out — do not operate. This shoots the machine to the top of the status board in red.
  6. Sign it, then tap the big yellow File inspection button. That one button does everything: emails the PDF to the shop and files the inspection so it shows on the status board. When it works the button says Filed ✓. That's your confirmation — if you don't see it, it didn't file. Nothing else pops up; that's normal.

The two buttons at the bottom

The bar at the bottom of the form stays with you as you scroll. There are only two buttons on it, and that's on purpose:

More… underneath opens Save a copy, Print, Copy report, Backup and Restore. Most people never need them. Save a copy puts the PDF on your own device — that's the only thing that opens a share or download box, and only when you ask for it. Print gives you a paper copy; Backup writes a file you can Restore onto another device if one dies mid-inspection.

If you see a red "Already filed" banner

It means the form still has the last inspection in it — every answer, every photo. Tap New inspection before you start, or you'll be looking at someone else's answers and filing them as today's.

The banner won't go away on its own, and that's deliberate. It clears when you tap New inspection.

Reading the status board

Machines are sorted by how much they need attention — worst at the top. You never have to hunt for the problems; they come to you.

Shows asMeans
Tagged out Last inspection said do not operate. Always top of the list, whatever the date.
Never inspected Nothing on file yet for that machine.
Overdue More than 90 days since the last inspection.
Due soon 80 days or more — start thinking about it.
Current Inspected inside the last 80 days. Nothing to do.

The interval is 90 days across the whole fleet. Tap any machine to see its full history and open the PDFs.

Putting it on your home screen

Worth two minutes. It gives you an icon that opens straight to the machine list — no typing the address, no hunting through browser tabs.

iPad / iPhone

  1. Open Safari (this doesn't work in Chrome on iOS) and go to adcinspection.com
  2. Tap the Share button — the square with the arrow coming out of it, at the top or bottom of the screen depending on your model.
  3. Scroll down the list and tap Add to Home Screen.
  4. Name it something short — Inspections — and tap Add.

You'll get an icon with the rest of your apps. Do the same on /fleet if you want the status board one tap away too.

Android

  1. Open Chrome and go to adcinspection.com
  2. Tap the three dots in the top right corner.
  3. Tap Add to Home screen (on some phones it's Install app — same thing).
  4. Name it Inspections and confirm.

Windows PC

Two ways, both fine:

Worth knowing

If something's wrong

What you seeWhat to do
Button says NOT FILED Check your signal and tap File inspection again. Filing twice in a row is harmless — it won't create a duplicate. Nothing you typed is lost in the meantime.
Button says Filed ✓ — no email Nothing for you to do — the inspection is filed and on the board. It means the email side is broken; tell Dave so it gets fixed.
Machine isn't on the status board Every machine should be listed, uninspected ones included. If one is genuinely missing, it's not in the roster — flag it.
An inspection is missing from history Check the removal log at /removals — it'll say who took it out and when.
Wrong machine's form opened Go back to the machine list and check the unit number. The form is machine-specific; the unit number is at the top of every form.
